AI (Artificial Intelligence)
X-ERP makes AI valuable when technology, knowledge and responsibility fit together. This area controls languages, technical information and chatbot knowledge - and thus whether a quick answer becomes really useful support.
AI in X-ERP: good answers start with good guardrails
Artificial intelligence can formulate texts more quickly, classify information and support users in dialogue. However, their quality depends on which model is connected, what instructions are available and how carefully the result is checked.
AI supports decisions and formulations. The technical responsibility always remains with the person.
The building blocks
Administration > Initialization AI
- AI translations: determines which target languages are offered in AI-supported translations.
- AI email info: stored named instructions and context for processing emails.
- AI text info: stored named instructions and context for general text functions.
- Chatbot settings: defines the overall basic information for the chatbot.
- Chatbot information: builds a structured knowledge collection from named entries.
The technical connection to the provider, model, API key and - in the case of Azure - endpoint is shown below Administration > Master data initialization > Program settings maintained.
A professional introduction path
- Clarify data protection, permitted content and responsibilities.
- Set up the provider and model with a protected API key.
- Only activate translation languages that are actually required.
- Formulate a few clear instructions with a comprehensible purpose.
- Test typical, difficult and intentionally misleading entries.
- Allow results to be approved professionally and improve the information base.
Quality rule
Write instructions specifically: goal, context, desired tone, boundaries, and expected output format. Remove outdated or contradictory clues because AI cannot reliably guess what is unclear.

Frequently asked questions
Are AI answers automatically correct?
No. They are suggestions and must be professionally examined depending on the risk.
Where is the AI provider set up?
Provider, model, API key and any necessary endpoint are maintained in the program settings.
What should be clarified before productive use?
Allowed data, data protection, accountability, testing steps and a documented test with realistic cases.
