Storage: When every quantity has a place and a story

Storage keeps physical reality and the X-ERP inventory in sync. Every movement answers three questions: What was changed? Where is it now? Why did the change occur?

Which process is correct?

  • Inventory count (inventory): Compares the inventory calculated by X-ERP with the quantity actually counted. The difference makes shortages, excess stocks and recording errors visible.
  • Reassessment: Changes the value of an existing inventory, not its quantity. It is correct if the quantities are correct, but the assessment needs to be technically adjusted.
  • Bearing transfer: Moves a quantity from a source warehouse or location to a destination. The entire inventory remains the same, only the storage location changes.

A secure storage process in six steps

  1. Clarify the reason, deadline and responsible person.
  2. Choose the action based on the actual cause – count, evaluate or move.
  3. Check item, inventory management, unit and, if applicable, serial or batch number.
  4. First, capture the entire process in the draft.
  5. Control differences, totals and validation messages.
  6. Finally, save and check the result in inventory and warehouse history.

Then check

  • The expected inventory is visible in the correct storage location.
  • Differences in quantities or values correspond to the released result.
  • Serial and batch numbers are clearly assigned.
  • The storage history will explain the change later in an understandable way.
Do not use stock transfer to cover up an unexplained shortage or inventory to simply change the storage location. The correct process maintains traceability.
