Program settings
The program settings control how X-ERP displays sizes, limits files, protects login attempts and addresses external AI services. Here, technical parameters become tangible rules for daily operations.
Program settings: central rules for accuracy and security
- Administration > Master data initialization > Program settings:
- The settings should be made before starting work in X-ERP.
- This page bundles settings that not only shape a single data set, but also the behavior of the company database. Always only change a comprehensible area and then test a representative process.
Units
- Unit of length: Standard designation for length values, for example cm or m.
- Weight unit: Standard designation for weights, for example kg.
- Volume unit: Standard designation for volume information, for example l or ccm.
- Time unit: Standard name for time values, for example minutes or hours.
The unit must match the numerical values used in the company. Simply renaming does not automatically convert existing values to a different unit of measurement.
Decimals
- Decimal places prices: Accuracy for pricing information.
- Decimal places percentages: Accuracy for percentage values, such as discounts or surcharges.
- Decimal places weights: Accuracy for weight information.
- Decimal lengths: Accuracy for length information.
Choose as many positions as are technically necessary, but no more than makes sense. After a change, check capture, calculation, lists and document output.
Security
- File upload limit (MB): Maximum permitted size of an uploaded file. Values that are too small block required attachments; very large values increase storage and transmission requirements.
- Number of failed login attempts until user lockout: Threshold after which a user account is locked to protect against unauthorized login attempts.
AI configuration
- AI providers: selects the connected service, for example OpenAI or Azure OpenAI.
- AI model: technical model identifier provided by the selected provider.
- AI API key: secret access key to the provider. Treat it like a password.
- AI Endpoint: AI instance endpoint; the field appears in Azure or Azure OpenAI.
Controlled test
Save, if necessary, log in to a separate test session if there are security-related changes and, depending on the change, check the upload, display, rounding or a released AI function.

Frequently asked questions
Will existing values be converted if I change the unit?
No. A changed unit name is not an automatic conversion. Check and plan the functional migration separately.
Why does the AI API key need special protection?
It allows access to the external AI service and can trigger costs and data processing. Treat it like a password.
What does the failed login attempt value do?
Once the threshold is reached, the user account will be locked to protect against further login attempts.
