Create a new inventory count

  1. Open Inventory count in the desktop Storage and choose New.
  2. Choose that Inventory manager. X-ERP suggests the logged in employee.
  3. Select the one to count Warehouse.
  4. Confirm the selection. X-ERP assigns the inventory count number and the creation date.

Understand the overview

  • Inventory count number: Unique number for tracking and printing.
  • Created on: Time at which the count was created.
  • Inventory manager: Technically responsible person.
  • Stock: Determines in which warehouse the inventory should be carried out.
  • Info: Free information on the deadline, area or special features.
  • Total calculated quantity: Total quantity according to X-ERP.
  • Total counted quantity: Total of your recorded counting results.
  • Total difference: Deviation between counted and calculated quantity.
  • Draft/saved: Shows whether the count can still be edited or is already read-only.

Record positions

  • Add all in-stock items from the selected warehouse: Creates a comprehensive initial list of the items currently in stock in X-ERP.
  • Add item: Targetedly supplements a single stocked item; For storage locations, select the location first.
  • Storage location: Specific counting location within the camp.
  • item, matchcode, name 1 and name 2: Clearly identify inventory.
  • Quantity counted: Quantity actually detected; this is the central input field.
  • Calculated quantity: Stock that X-ERP determined for the process.
  • ME: Unit of measure in which target and actual quantities are compared.
  • Difference: Counted minus calculated. Negative values ​​mean shortages, positive values ​​mean excess stock.
  • Series/batch: Clearly assigns individualized inventory. Serial numbers are counted as present or not present per piece.

The function Copy positive quantities takes the quantity from the column Calculated quantity into the column Counted quantity. Use it only as a conscious work aid and check every item taken over - an inventory must not become an unchecked copy of the inventory.

Lock securely

  1. Record all counting quantities and individualizations.
  2. Check any noticeable differences by doing a second count.
  3. Control totals, storage locations and duplicate items.
  4. Save the draft and edit any validation errors that appear. After successful saving, no further changes are possible.
  5. Use the preview for counting lists or documentation.
  6. After closing, review inventory and inventory history.
A difference is not a value that can be “made to fit”. She is a signal. Clarify the cause and counting result before X-ERP takes over the inventory.

Why can't the inventory be saved?
