The chart of accounts is the navigation system for your financial accounting. It connects account numbers with tax logic, evaluation groups, cost accounting and - if required - DATEV.
To do this, use the overview
- Account ID, account number, account name and matchcode make the account clear and easy to find.
ID: The ID usually always corresponds to the account number. Each ID can only be assigned once.
Account name: The label can contain up to 200 characters.
Match code: The matchcode is a suggestion automatically generated by the system, consisting of the account number and the account name, separated by a hyphen. This can be adjusted as required. The matchcode is primarily used to quickly find an account.
tax code: A tax code can be assigned to the account via the selection list. If the account has the account type financial account or tax-free, no tax code is possible. A tax code can be stored in accounts with the account type sales tax, input tax and purchase tax, which is suggested during posting.
Account type: Type of use
Purpose: Accounts that are used for automatic postings are marked separately in X-ERP. These are the balance carryforward accounts for debtors, creditors and general ledger accounts, the collective accounts for debtors and creditors, the tax-free cash discounts received and tax-free cash discounts granted. All other accounts do not receive any special identification.
Assignment: Identification of whether the account is a balance sheet account or a profit and loss account.
Account class: For sorting in the totals and balances list
Foreign currency: If postings are not to be made in the company currency, a foreign currency can be entered. The account balance is shown in foreign currency in addition to the company currency. It is not possible to book in multiple foreign currencies on one account.
Investment account: Accounts with a checked checkbox can be used in asset accounting.
Indirectly: If the checkbox is set, the account can only be posted indirectly. The account cannot be accessed when creating manual postings.
- Cost type, cost center and cost object connect the general ledger account with cost accounting.
- The balance sheet, P&L and BWA group as well as asset class assign the account to the evaluations.
Target side: If checked, the account will be suggested on the debit page for manual postings if it is inserted as the first account in the posting.
Negative balance warning: Identification if, for example, a negative balance is not permitted in cash accounts.
Active: Only active accounts can be posted.
Favorite: Identification to select favorites in the overview of the chart of accounts. This makes it easier to keep an overview of the individually used chart of accounts.
- DATEV account and DATEV automatic account prepare the external handover. If the checkbox for the DATEV automatic account is set, the account transactions will be transmitted without a tax code when transferred to DATEV.
Safe process
- First, search for an existing matching account.
- When creating a new one, you specify the number, designation and functional assignment.
- Review tax, cost accounting and reporting allocations together.
- Store and control the account in chart of accounts and relevant reports.
Then check
- The account is unique, active and associated with the correct tax, expense and reporting logic.
To do this, use the account sheet
The account sheet provides an overview of all Account movements and the Balance of the account in question. If the account is an account that is held in a foreign currency, the Balance in foreign currency listed.
