That's what you use this page for
- To create a new account statement, press the button New button and select the company bank account (Finance > Settings > Company Bank) for which the account statement should be recorded. If the extract is to be recorded manually and not imported via file, the checkbox is activated Manually activated.
Header information
- Document number: Assign a document number for posting the account statement or use the number that was given when the statement was imported. No posting can be made without a receipt number.
- Move-out date: The date the account statement was read or recorded. The date says nothing about the actual posting date.
- Foreign currency: If the bank account is an account held in a currency other than the company currency.
- General ledger account: The posting is made to the general ledger account stored in the company bank account (Finance > Settings > Company Bank > General Ledger Account).
- Current account balance: The balance of the general ledger account currently recorded in the system to which the payment movements of the company account are posted is displayed.
- Initial balance: The initial balance is transmitted when importing a CAMT file and cannot be edited manually. Posting the account statement is only possible if Current account balance and Initial balance match. If the user still decides to make a posting, he documents this by activating the checkbox Accept balance deviation. The display of the initial balance - and therefore the verification - is no longer necessary if the account statement was entered manually.
Transfer suggestions automate recurring patterns
- Suggest accounts: If the button is pressed, the program checks whether a previously recorded criterion (Finance > Settings > Transfer Proposals) fits one of the positions. If the criterion matches, the corresponding general ledger account, customer account or supplier account is automatically assigned to the item, making posting entry easier.
Position information
- Read the bank statement file and all its items using the button Import bank statement file or enter the positions manually Add position.
- Pos: Positions are numbered in ascending order.
- Document date: Posting date of the item
- posting period: The suggested posting period is the period in which the document date is located. The posting period can be changed.
- Amount (FW): If it is a bank account that is held in a foreign currency, enter the amount of the position in the foreign currency. In this case the field is amount cannot be edited and only shows the equivalent value in company currency.
The prerequisite for accurate recording of amounts in foreign currency is that the foreign currency rates are regularly maintained. (see Administration > Financial Initialization > Currency Rates)
- Amount: Make sure to record outgoing payments with a minus. If the amount comes from the account statement file, it cannot be edited.
- Name: Recipient or client
- Memo 1: Purpose of the position
- Account: If a general ledger account was assigned to the payment in the details, the matchcode of the general ledger account is displayed. If the payment is split into several general ledger accounts, the matchcode of the first general ledger account entered is displayed.
- Customer/Supplier: Name and number of the partner assigned in the details.
- Assigned: For an unprocessed item, the field is filled with the amount 0.00. After processing in the Details the field contains the total of the assigned amounts. Only if the allocated amount is identical to the total from the column amount, the position can be posted. This is also indicated by the green background color of the amount. If the amounts are not exact, the amount is marked red and the item cannot yet be posted.
- Details: Click Details to assign general ledger accounts or open items to the bank statement items.
Details open items
- OP assignments link payments to open customer or supplier items.
- Add open items: Add one or more open items to the position. It is only possible to assign open items from a vendor or a customer to a position.
- Payment amount: The program automatically enters the amount of the bank statement item in the payment amount field. An OP amount can be represented with a negative or positive sign. Debits are shown with a positive sign. Inputs are shown with a negative sign. This has no impact on postings. The posting amount is positive in all of the cases mentioned. The amount can be adjusted manually. Please note that the amount must not exceed the open amount of the selected OP. It is only possible to post this account statement item once the item amount has been completely distributed. For clear coordination, the difference between the selected open items and the item amount is displayed at the top of the editing screen.
- If it is a foreign currency account statement, processing does not take place via the column Payment amount, but via the column Payment amount (FW). In the column Payment amount The value of the payment is displayed in company currency on the item posting date.
- Discount amount: If it is a payment with a discount, enter the discount amount here. The amount and discount amount together may not exceed the open amount of the open item. Please note here too that debits are shown with a positive sign and receipts with a negative sign. If the open item is based on a payment condition with a discount and the payment is made within the discount period, the program automatically calculates the permissible discount and applies it. The discount can be adjusted manually.
- Permitted: If the open item is based on a payment condition with a discount and the payment is made within the discount period, X-ERP automatically shows the permissible discount. This field is purely informal and cannot be edited.
- Rest: The future open amount is calculated based on the entries made in the Amount and Discount Amount fields.
- Currency difference: If necessary, enter the difference between the OP FW amount and the payment FW amount.
- Currency difference account: From the chart of accounts, select the account to which the currency difference should be posted.
- Difference subject: Posting text for the currency difference posting.
