The Open Items list shows who owes whom what amount from which document - including due date, status, origin and clearings that have already been made.
That's what you use this page for
- Partner, item type and reference document identify the receivable or liability.
OP origin provides information about which module of X-ERP the operation was created in:
Sale = The OP was created by posting a customer document with an impact on sales.
Purchasing = The OP was created by posting a supplier document that affects sales.
posting = The operation was created through a posting in the posting entry.
transfer = Origin is a posting in the account statement entry.
OP type: The field provides information about the type of open item.
Doc guy: The type of document if the OP was created from a document affecting sales.
At Partner type it can be customers or suppliers.
Reference doc: Document number from X-ERP or the content of the Doc number field in postings.
- Document date, due date and status show the temporal urgency.
status: The status of the OP changes from Open to Closed, as soon as the Open amount is equal to 0.
Payment conditions: If the OP was created through a document that affects sales, the payment condition selected in the document is displayed. The field is editable so that the payment conditions can be changed. The fields Due date, discount date and discount % are automatically filled based on the selected payment conditions.
- Amount and open amount separate the original value and the remaining amount. An OP amount can be represented with a negative or positive sign. Customer invoices, supplier credit notes and supplier payments are displayed with a positive sign. Supplier invoices, customer credit notes and customer payments are shown with a negative sign. This has no influence on the postings. The posting amount is positive in all of the cases mentioned. The amount is always displayed in company currency
- Foreign currency
- For operations that arise from a foreign currency posting, the additional Amount (FW) and the Open amount (FW) displayed, as well as the course with which the operation was posted.
- Payment block and reminder information provide information about the processing status.
Payment block: If the checkbox is set, the document will not be taken into account in automatic payment transactions.
Dunning block: If the checkbox is set, the document is excluded from the dunning run.
Dunning level: Current dunning level of the document. The field is editable.
Safe process
- Filter by customer or supplier, due date and status.
- Open the item and compare the reference document and posting.
- Review existing payments, credits and reconciliations.
- Only derive payment, reminders or clarification from the confirmed remaining amount.
Then check
- Partner, receipt, due date and outstanding balance correspond to the accounting and subsequent processes.
