Items bundle price lists, procurement costs, price unit and item group. This master data forms the basis of every later price decision.

The item connects the commercial world with calculation. Meet here Price unit, sales price lists, procurement costs and item group together. An error at this point is repeated with every new document item - on the other hand, clean maintenance often has a positive effect.

Four building blocks that you should keep apart

  • Price unit: Specifies how many units a saved price applies to. It influences sales, purchasing, calculation and document totals.
  • Sales price list: Contains the actually available sales price per item, price list and validity date.
  • Procurement calculation: Determines the cost price from the procurement price, factor and surcharges; This can result in a calculated sales price.
  • item group: Associates the item with the rules of a discount group. Without a suitable item group, the intended discount matrix cannot work.

Calculated price and list price are not the same

The calculated selling price answers the internal question: What price results from costs and surcharges? The Sales price list answers the operational question: What price should be suggested in a sales document?

They can be the same, but they don't have to be. Market prices, promotional prices or customer-specific lists may differ from the internal calculation. Consciously check such deviations instead of treating them as errors.

Check before sharing

  • Price unit and quantity unit together create an understandable price basis.
  • The item is assigned to the correct item group.
  • At least one valid sales price is available in the required price list.
  • Supplier-related purchase prices are current.
  • Cost of goods sold and calculated selling price show a plausible margin.
  • A test document uses the expected price source.

Note

The item doesn’t just show “one price”. He holds the rules and connections from which X-ERP selects the right price for the respective situation.
