Overview

The employee overview connects a person with their tasks in the company. This is where searchability, internal responsibility, email sender, calendar reference and the roles as salesperson or technician arise.

Employee register overview

The employee overview connects a person with their tasks in the company. This is where searchability, internal responsibility, email sender, calendar reference and the roles as salesperson or technician arise.

An employee record is not automatically a user account. Check the “Connected User” before expecting rights, portal access or personal functions.

Person and address

  • Title: Academic or professional title of the person.
  • Salutation: Salutation for personal communication and documents.
  • First name: Employee's first name.
  • Last name: Last name of the employee and essential part of the identification.
  • Street: Street and house number of the private or business address.
  • Zip code: Postal code of the address.
  • Location: Location of address.
  • Country: Country of address with country-specific format and selection effect.
  • Position: Function or job title of the employee.
  • Match code: Short search term under which the employee can be quickly found in selections.

Communication

  • Tel. 1: Primary phone number.
  • Tel. 2: Additional phone number.
  • Mobile: Mobile phone number.
  • Fax: Fax number, if still needed.
  • Email: Personal or corporate email address; can be used directly to compose a message.

Role and assignment

  • Active: Controls whether the employee is available for new assignments and processes.
  • Seller: Identifies the employee for sales-related selections and evaluations.
  • Technician: Identifies the employee for service and technical processes.
  • Favorite: Highlights the employee for preferred or quick selection.
  • Remark: Short internal note about the employee.
  • Commission group: Assigns the sales representative to a commission logic or group (see Management > Settings > Commission groups).
  • Employee group: Technical group for organization, filters and rules (see Management > Settings > Employee groups).
  • Keyword: Additional term for search and internal mapping.
  • Created by (read-only): Employee or user who created the data record.
  • Connected user (read-only): Shows the user account associated with this employee record. By assigning a user, the employee can log in to X-ERP with their user name and password. Everyone User (see Administration > Users) can only be assigned to one employee. When assigning the user, only users who have not yet been recorded in any other employee master data record are displayed.
  • Email sender X-ERP: The name of the email account that is transmitted as the sender when an email is sent from the employee is recorded. (see Email > Settings > Email Accounts > Name)
  • Supervisor: Links the organizationally responsible employee.
  • Location: Assigns the employee to a company location.

Calendar

  • Calendar name: Calendar in which the employee's appointments and follow-ups are kept. (see Calendar > Settings > Calendar name)
  • Calendar reminder (minutes): Lead time for reminders before a calendar entry. The lead time is generally specified here for all appointments. However, it is possible to assign an individual lead time to an individual calendar entry. If the field remains empty, no reminders will be sent.
  • Select color: Personal display color for calendar entries and visual associations.
  • Creation date (read-only): Time at which the employee data record was created.

Work safely

First enter the name, matchcode and availability, then define the role, group and location and finally check user, email and calendar assignment.
